# What makes a build bigger or smaller
Canonical: https://agency-os.ai/2026/10/18/what-makes-a-build-bigger-or-smaller/
Summary: The size of a custom build comes from a few knowable things: locations, systems to connect, records to move, people who decide. How to read yours.

In short

A build grows with the number of places, systems, records and people it touches. Know those six things before you ask for a number, and you can shape the first build to fit.

## Why two builds are never the same size

Two owners can ask for what sounds like the same thing, say a way to send quotes the same day, and need very different builds. One runs a single location with one tool. The other has three locations, two systems that do not talk to each other and years of records in a spreadsheet. The idea is the same. The work is not.

## The six things that set the size

- **Locations.** Each one has its own habits and exceptions, and the system has to handle all of them.
- **Systems to connect.** Every tool it talks to has to be set up, tested and kept working.
- **Records to move.** Years of customers, jobs or prices usually need cleaning before they move.
- **People who sign off.** Each decision maker adds a round of review, and that time adds up.
- **How much the day depends on it.** A system the business cannot run without needs more testing and a careful switch from the old way.
- **Kinds of users.** Owners, staff and customers each need their own view and their own training.

## How to make the first build smaller

Start with one location, one team or the one job that repeats most. Prove it works, then extend it. Name one person who can make decisions. Move only the records you actually use, and leave the archive where it is until you need it.

A smaller first build is not a lesser one. It reaches your team sooner, shows what works in your business, and makes the next step easier to price.

## How we put a number on it

These six things are what we measure during the Assess, so by the time we propose a build you can see what drives its size. Every build gets a fixed price and a finish date in writing before work begins, and it is never billed by the hour. New ideas along the way get their own proposal, never a quiet change to the current one.

Bring your own list of the six to a [free consultation](/book-a-call/), and we will help you see which ones drive your build and where a smaller first step would pay off sooner.
